25 years of Plan-IT: User experiences

14-08-2025

Over the past 25 years, Plan-IT has grown for many users from a digital replacement of the traditional planning board into an indispensable partner in the workshop. Where planning was once done with cards and magnets, the switch to digital brought instant, organisation-wide oversight at a glance.

Not only could users see which technicians were available, but also the availability of courtesy vehicles, daily capacity, and the progress of ongoing work.

“It’s the heart of our workshop. Without Plan-IT, we’d be back to scattered notes and chaos,” says one long-term user of the system. The software evolved alongside real-world practice, increasingly integrating with other systems. Dealer Management Systems, CRM solutions, and online modules connected seamlessly, reducing administrative work and preventing errors. A major step was enabling online booking: customers could schedule workshop appointments 24/7 and receive immediate confirmation. “Since customers started booking online themselves, the phone has finally been quiet enough for us to really focus on the work.”

The results are tangible. Technicians achieve higher utilisation rates, often above ninety per cent, and unplanned downtime is reduced. Teams find that everyone, from reception to parts, works with the same up-to-date information. “You can instantly see who’s working on what, and that makes it so much easier to adapt.” What is simple at its core still leaves room for fine-tuning, allowing processes to be continuously improved.

What users consistently emphasise is the way Plan-IT is supported. There’s no distant ticketing system, but direct help from knowledgeable people who think along with you. “You call and get someone who immediately understands what you’re talking about. That saves so much time.” This personal approach is often cited as a key differentiator. Ideas from the market feed directly into new features, showing users that feedback is genuinely taken on board. “Requests from the market are taken seriously and often appear in an update soon after. It shows they’re writing the software alongside our practice.”

The reliability of the system itself also plays a role in user satisfaction. It runs smoothly, day in and day out, giving businesses the confidence that their planning is always accessible. For many organisations, working with Plan-IT feels more like a partnership than a supplier–customer relationship. “They think with us not just about the software, but about how we can set up our processes more efficiently.”

After a quarter of a century, it’s clear that the success lies not only in the technology, but in the collaboration behind it. Users see Plan-IT as far more than just a tool: it’s a strategic part of business operations that evolves with the market while keeping a clear focus on day-to-day realities.
